Terms & Conditions

1. Reservation

1-1. Preliminary reservations are accepted via official website, Telephone or Email. The booking is not confirmed until a written Confirmation is issued by us.

1-2. All offers, prices, terms and conditions are subject to change or withdrawal without notice prior to a confirmation being issued.

1-3. The bookings details are as per the Confirmation. Any change to the number of and /or the ages of guests may change the booking total amount.

1-4. All prices are in Japanese Yen and include 10% Japanese consumption tax and service charge.

1-5. To confirm the reservation, the full amount is required 45 days before check in.

1-6. To confirm the reservation from 1 December to 31 March, a 30% deposit is required within 14 days after the booking date and the remaining balance is required 45 days before check in.

2. Cancellation

2-1. The following applied to bookings:

i. Cancellation between 45 days or more before check in - no cancellation fee.
ii. Cancellation less than 45 days before check in - 100 % of booking total.

3. Arrival and Departure

3-1. Arrival and departure times must be provided to us via Email or Telephone at least 5 days before the arrival date.

3-2. Rooms are available for occupation from 3:00pm.

3-3. Check-out time is 10:00am. (Hachi & Zenrinso: 12:00)
All luggage and personal items must be removed from the room(s) at time of check-out.

3-4. Upon check-in we require a copy of guest credit card details to be taken for security/bond purposes.

3-5. Japanese law requires that we obtain all guest’s full names, nationalities, passport numbers, postal addresses and occupations at check in.

3-6. Late check-out charge of 11,000 JPY is applicable to stay until 12:00 noon (Hachi and Zenrinso is 2:00 pm). Requests for late check-outs must be confirmed at least 24 hours in advance.
Late check-out can be arranged subject to availability but please be advised that is often not possible.

3-7. The lobby lounge, restaurant, luggage store are available for use on the check-out date, after check out time.

4. Hours

4-1. Front reception
Mountainside 8:00am~5:00pm (Green season) 7:30am~8:00pm (Winter season)

4-2. Hours vary with season.

5. Housekeeping

5-1. Housekeeping during the stay as follows:

i. Daily garbage collection and towel replacement. In winter, this also includes bed making, basic room cleaning, and wiping down of bathroom areas.
ii. For stays of 4 nights or more, bed linens are replaced every 4 days.
iii. Cleaning services may vary depending on the type of reservation, such as long stays or summer eco plans.

6. Property Damage & Loss

If a guest violates these terms and conditions or regulations, or if the following situations occur due to the guest's responsibility, our company may seek compensation from the guest for expenses incurred for cleaning, repairs to the room, loss of sales opportunities, or other damages:

6-1. Damage, theft, or loss of hotel facilities or equipment is detected.

6-2. Special cleaning beyond normal use of the hotel is required due to eating, vomiting, blood, bodily fluids, soiling, etc.

6-3. Smoking is observed inside the building or on the outdoor premises.

6-4. When charges are incurred by the establishment, you agree to make payment using the registered credit card at the time of settling accommodation expenses in accordance with the terms and conditions, as well as during check-in.

6-5. In case of any of the above situations, please contact the front desk before check-out.

7. No Smoking and No Pets Policies

7-1. Our facility is entirely non-smoking, including within the building and on the outdoor premises.

7-2. If smoking by you or accompanying guests is discovered and smoking continues despite warnings to cease smoking inside the room, both the accompanying guests and the guest responsible for smoking may be asked to leave.
No refunds will be provided in such cases.

7-3. In case of smoking inside the facility by you or accompanying individuals, an additional cleaning fee of at least 30,000 yen will be charged. In addition, if additional rooms are required for the affected next guests due to odor, the cost will be borne by the owner.

7-4. Our facility does not allow pets under any circumstances. If a pet is discovered, an additional cleaning fee of 30,000 yen will be charged.

8. Noise and Nuisance

8-1. Parties and loud noise during late hours are strictly prohibited. Guests are expected to respect the privacy and comfort of other residents.

8-2. The use of the courtyard and deck is restricted until 22:00 to minimize noise disturbances during the night. This limitation is in place to ensure the peace and tranquility of neighboring residents.

8-3. Should a guest violate these noise and nuisance regulations, resulting in complaints from neighbors or the involvement of law enforcement agencies such as the police or fire department, the guest will be subject to appropriate nuisance fees. Nuisance fees will be determined based on the costs incurred and inconveniences caused to neighboring residents.

8-4. Guests also agree to assume responsibility for any damages resulting from their violation of this agreement. This includes any discomfort caused to fellow guests, inconveniences to neighboring residents, property damages, and other related expenses.

8-5. Our establishment aims to provide a secure and peaceful environment for all guests. The rules regarding noise and nuisance are essential in achieving this goal. Guests are kindly requested to adhere to these regulations and to show consideration for fellow guests and nearby residents.

9. Parking

9-1. ALL building will not be liable for the custody of the vehicle of the Guest when the Guest utilizes the parking lot within the premises of the Hotel, as it shall be regarded that the simply offers the space for parking. However, We will compensate the Guest for damage caused through intent or negligence on the part of the Hotel in regards to the management of the parking lot.

10. Responsibility

10-1. The Hakuba Company K.K operates wholly in Japan and the law of Japan applies to all services provided. Where services are provided by agents and principals the Bookings are made subject to the terms and conditions of the agent or principal.

10-2. Subject to Japanese law The Hakuba Company K.K, and principals are not liable for any loss, damage, delay, consequential loss, injury or death resulting from any act, alteration or omission by The Hakuba Company K.K., or principals, any third party, act of god or other circumstances.

10-3. The Hakuba Company K.K cannot under any circumstances be held responsible for snow conditions. No booking can be cancelled, altered or amended on the basis of weather conditions.

10-4. We expect guests protect themselves against all risks of travel, including the possibility of having to cancel a holiday or alter travel dates, with appropriate Travel Insurance which they arrange at the time they pay their Deposit.
